Coordination is not government authority

A coordinator cannot approve a licence, visa, residence status or deadline. Authority requirements can change and individual applications can require further review. Marketing or status updates should never imply government affiliation, privileged approval access or guaranteed processing.

Share only what the process requires

Government processes can involve identity and company information. Before any data is shared, confirm the specific recipient, purpose and minimum required fields. Consultation enquiries should not request passports, identity documents or financial data. If a formal process later requires documents, the authorised specialist should provide the secure, process-specific route and privacy information.

Continuity

Maintain a verified obligations calendar

A useful calendar names the licence or service, authority, reference, responsible owner, expiry or due date, preparation lead time and last verification date. It should not assume renewal is automatic or that last year’s requirements remain unchanged.

Before every renewal:

Re-check activities, ownership, premises, authorised people, authority requirements and any open notices.
